2FA User Set-Up

Log-In Screen

Upon navigation to the log-in screen after the 2FA solution has been implemented, you will be prompted with the standard log-in screen however there will be an additional field for the authentication code. On a user’s first log-in you should leave the authenticator code field empty whilst signing in with your usual email and password and this would not have changed.

This will bring you to a tutorial page like the below which should aid in the user set-up for each 2FA user.

Step 1 - Install Microsoft Authenticator App

Please download and install Microsoft Authenticator on your IPhone/IPad/Android device, if not already installed. To download the app you can also point your phone camera at this QR code on your computer screen and follow the link. Alternatively you can search the App Store for iPhone or Play Store for Android.

Step 2 - Link your device to your account

You have two options to link your device to your account.

Option A: Using QR Code 

Within the Microsoft Authenticator app select "Scan a barcode", then point your camera at the QR code on your computer screen below. Your account will become linked and you can return to the login screen to complete the 2fa login.

Step-2-QR-MICRO

If the Authenticator app cannot locate a barcode scanner app on your mobile device, you might be prompted to download and install one. If you want to install a barcode scanner app so you can complete the setup process, select Install, then go through the installation process. Once the app is installed, reopen Microsoft Authenticator, then point your camera at the QR code on your computer screen.

Option B: Using Secret Key    

1. Select "Enter provided key", then enter the account name of your account from below into the "Enter account name" box.

2. Next, enter the "Secret Key" as it appears below on your computer screen into the "Enter your key" box.

Make sure you've chosen to make the key Time based, then select Add. Your account will become linked and you can return to the login screen.

 Step 3 - Log into your CMS account

Once you have completed the installation of the authenticator app onto your phone you will be able to log into your pTools CMS account. On the pTools CMS login screen submit your Login Name, Password and then the Authenticator code. The Authenticator code will be found on your phone’s Authenticator app. This Authenticator code will routinely change throughout the day and will be needed each time you want to login to the CMS.

When the user has signed in previously but has lost access to the device with the authenticator code, this can be reset via the Users tab within the CMS and navigating to the user account in question.
